What costs continue after a configurator goes live?
Plan configurator ownership beyond launch: hosting, catalogue maintenance, model updates, integrations, support and internal administration.
Table of contents
A configurator's ownership cost includes more than its initial build or subscription. Budget for the people and services that keep product data, prices, models, integrations and customer support reliable after launch. Compare these responsibilities over the same period and under a realistic change pattern.
Separate recurring operation from future development
Hosting and routine monitoring concern keeping the agreed application available. Adding a new product family is development. Updating an existing price list may be administration, while changing the calculation method may require engineering work. Ask the supplier to classify representative changes instead of assuming that a maintenance label includes everything.
Include your own team's time. A lower service fee may depend on your staff preparing more product data or maintaining additional systems. That can be a good arrangement, provided the capacity exists.
| Cost area | Planning question |
|---|---|
| Application operation | Which services and monitoring are included? |
| Catalogue maintenance | Who edits, checks and publishes changes? |
| Visual assets | What happens when geometry or materials change? |
| Integration operation | Who investigates failed or changed transactions? |
| Business administration | Who manages accounts, prices and exceptions? |
Use a change calendar rather than an arbitrary allowance
Write down expected events: two seasonal catalogue releases, a dealer price review, an ERP upgrade or a new accessory range. These are your planning assumptions, not universal benchmarks. Ask how each event is handled and what remains chargeable.
For an exercise with annual operation cost O, planned change work C and initial project cost I, a five-year planning total is I plus five times O plus the scheduled C amounts. Taxes, financing and commercial terms need their own treatment. The formula helps expose omissions; it is not a Configurix price quotation.
Include costs of keeping an old process
The alternative also has a cost: repeated interpretation, copied data, outdated models and manual offer preparation. Measure those tasks using your own orders. Avoid assuming that every minute saved becomes cash savings or that all enquiries become additional revenue.
Use the Configurix cost guide alongside a defined scope. Ask for operation, catalogue work and future development to be distinguishable so that you can compare a custom software proposal with your actual capacity.
Is the cheapest first year necessarily the cheapest system?
No. A low initial scope may leave necessary modelling, integrations or maintenance for later. Compare the same usable outcome over the same planning period.
Can we obtain a guaranteed five-year total?
Discuss which costs can be fixed and which depend on product or business changes. Record assumptions and exclusions rather than treating an uncertain forecast as a guarantee.
