How do quotation, BOM and drawing stay on the same revision?

Specify one accepted configuration reference across quotation, material list and drawing outputs, with a practical three-document reconciliation test.

A quotation, BOM and drawing should identify the configuration revision they describe. Generating all three files is not sufficient if each uses different saved values or rules. Before buying, request a reconciliation exercise that follows one product change through every required output.

Define the record that triggers each output

An enquiry may generate a summary before technical review. A quotation may be issued after commercial approval. A factory drawing may require additional verified measurements. Identify these stages and decide which configuration becomes authoritative for each document.

Use explicit references rather than a shared customer name. One customer can have several projects, and one project can have multiple revisions. Similar filenames do not establish that the files belong together.

DrawingApplicable dimensions, arrangement and approved revision

Change a measurement that affects materials

Prepare a frame at one size and generate the agreed outputs. Increase the width within the valid range, then regenerate or revise them under the approved process. Compare the quotation, material quantities and drawing dimensions.

Inspect the old documents too. They should remain identifiable as earlier outputs rather than being silently replaced with new content behind the same supposedly issued reference.

Test timing and failed generation

Ask what happens if the quotation is ready but drawing generation fails. The project should retain a clear status and a next action. A partially generated document set should not look like a complete factory release.

Likewise, confirm how queued outputs handle later edits. A drawing requested from revision A should not silently read revision B when the background task finally runs. The supplier should explain how the request identifies its intended input.

Specify the connected record in Configurix

Configurix can define custom quotation, BOM and factory workflows around your approved product data. Provide one current quotation, material list and drawing for the same product. Use them to establish required fields and cross-checks, then test a meaningful amendment.

Must all documents be generated at the same moment?

No. They may belong to different workflow stages. Each still needs a clear source revision and approval status so the receiving team understands what it can use.

Is a shared project number enough?

Not when the project has changed. Include a configuration or document revision that distinguishes the accepted values used for each output.
